1. Who we are
NovaMagnolia organises everyday walking programs, community walks and guided city walks in Japan. In this policy, "we", "us" and "our" refer to NovaMagnolia, with its studio at 4-10-22 Funabori, Edogawa-ku, Tokyo 134-0091. We are responsible for the personal information described below and handle it in accordance with Japan's Act on the Protection of Personal Information and other applicable laws. You can reach us at 03-3686-5678 or hello@novamagnolia.com.
2. Information you give us
When you register for the Walking Club, book a city walk, purchase a route pack or contact us, we collect the details you provide: your name, email address, telephone number, nearest station or preferred area, the program and dates you choose, and any health or accessibility notes you decide to share so that a walk leader can adjust the pace or route. Health notes are optional and are used only to keep you safe on a walk.
Payments are processed by our payment provider. We never store your full card details; we keep only a record that a payment was made, its amount and its date.
3. Information collected automatically
When you visit this website we record limited technical information such as your browser type, device type, approximate region based on your IP address, the pages you viewed and the site that referred you. Where this relies on cookies that are not strictly necessary, we only collect it after you have given consent through our cookie banner. See our Cookie Policy for details.
4. How we use your information
We use your information to manage your membership or booking, send you meeting points and route maps, notify you of weather-related changes or cancellations, answer your questions, process payments and refunds, and improve our routes and programs. With your separate consent we may send an occasional newsletter about new routes and seasonal walks. You can unsubscribe at any time.
5. Sharing your information
We share information only where necessary. Walk leaders receive the first names, group size and any safety notes for the walks they lead. Our payment, email and hosting providers process information on our behalf under agreements that require them to protect it. We may disclose information where required by law. We never sell your personal information.
6. International transfers
Some of our service providers may store or process data outside Japan. Where this happens we take reasonable steps, including contractual safeguards, to ensure your information receives protection consistent with this policy and with Japanese law.
7. How long we keep information
Membership and booking records are kept while you use our services and afterwards for the period required by tax and accounting rules, after which they are deleted or anonymised. Optional health notes are deleted within three months of your last walk with us. Newsletter details are kept until you unsubscribe.
8. Your rights
Subject to applicable law, you may ask us to disclose the information we hold about you, correct inaccurate information, stop using or delete information, or stop providing it to third parties. You may withdraw consent at any time where our processing relies on it. To make a request, contact us using the details above and we will respond within the period required by law.
9. Security
We use reasonable technical and organisational measures to protect your information, including encrypted connections, restricted access and regular review of our safeguards. No method of transmission or storage is completely secure, but we take the protection of your information seriously.
10. Children
Children are welcome on our family walks, but registrations must be made by a parent or guardian. We do not knowingly collect personal information directly from children under 16 without parental involvement.
11. Photos and notes from group walks
Our weekly walks are relaxed, and we sometimes take photos to share the route with the club. We ask before photographing anyone, and we never publish a picture in which you can be recognised without your agreement. If you tell us about a health condition or an old knee injury so a walk leader can suggest a gentler route, we keep that note only for as long as you are a member and share it with no one outside the walk leaders.
12. Making a request to us
You can ask us to show, correct, stop using or delete the information we hold about you at any time. Email hello@novamagnolia.com or call 03-3686-5678, or visit the studio at 4-10-22 Funabori, Edogawa-ku, Tokyo 134-0091 during opening hours. We will confirm it is really you and reply within fourteen days, as Japan’s personal information law requires.
13. Changes and contact
We may update this policy from time to time. When we make a material change we will update the date at the top of this page and, where appropriate, notify you by email. Questions or complaints can be sent to hello@novamagnolia.com or by phone to 03-3686-5678.
